This document describes how the Healthy Campus Platform supports Electronic Health Information (EHI) export for both single-student and bulk student population use cases, in accordance with ONC certification requirements.

 

1. Overview of EHI Export Capability

The Healthy Campus Platform enables authorized users to export a complete copy of Electronic Health Information (EHI) stored within the system. The platform supports both single-student EHI export and bulk (population-level) student EHI export, ensuring compliance with ONC §170.315(b)(10).

 

2. Single-Student EHI Export Workflow

A practitioner may initiate an export request directly from an individual student profile. The practitioner is required to provide a reason for the export request. The request is routed to the appropriate LEA Administrator for approval. Upon approval, the practitioner is permitted to download the student’s EHI export for a limited time window.

Single-student export includes:
• A machine-readable XML file containing the student’s EHI data
• A documents folder containing all related student documents
• The export is delivered as a ZIP archive
• Access to the export is time-limited and audit logged

 

3. Bulk Student EHI Export Workflow

Authorized administrative users (Super Admin, COE Admin, LEA Admin) may request bulk student EHI export from the Organization Overview page. The user selects one or more organizations and provides a reason for the request. The request is reviewed and manually approved by a Healthy Campus Mega Admin. Once approved, the export file is generated and made available for download to the requesting user for a limited duration.

Bulk export includes:
• A ZIP archive containing separate folders for each student
• Each student folder is named using the student ID
• Each folder contains a machine-readable XML EHI file and a documents subfolder
• The export is time-limited and restricted to the requesting user

 

4. Export Format and Structure

EHI exports are provided in a machine-readable XML format. Document files (such as PDFs and images) are included as separate files within the ZIP archive. This approach ensures both computability and completeness of the exported EHI data.

 

5. Security, Access Control, and Audit

All EHI export actions are protected by role-based access control and approval workflows. Export requests, approvals, downloads, and expiration events are logged with user identity, timestamp, and export scope details. Exports are available only for a limited time period and only to the user who requested them.

 

6. ONC Compliance Statement

The Healthy Campus Platform satisfies ONC §170.315(b)(10) by:
• Supporting both single-student and bulk student EHI export
• Providing EHI in a machine-readable electronic format (XML)
• Enabling user-initiated export without developer intervention
• Exporting the complete set of EHI stored within the system
• Applying appropriate access controls, approvals, and audit logging
